Executive Assistant

It is the primary responsibility of the Executive Assistant to provide comprehensive support services to the executive that ensures a professional, responsive and effective experience with the organization as a whole, in order to increase the time an executive has available for executive level responsibilities. All duties are to be performed in accordance with Equiinet policies, practices and procedures. 

Primary Responsibilities and Essential Functions

  • Responsible for the handling of a wide variety of situations and conflicts involving the clerical and administrative function of the office. 
  • Prioritize inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements. 
  • Responsible for confidential and time sensitive material and uses a high degree of discretion. 
  • Prepare routine and advanced correspondence including letters, memoranda and reports. Writes error-free, eloquent emails and letters. 
  • Responsible for the department-wide ordering of office supplies. 
  • May direct and lead the work of others. 
  • Responsible for reconciling credit card expense reports monthly. 
  • Provide sophisticated calendar management. 
  • Manage incoming calls, and prioritizes phone messages, emails and mail. 
  • Handles executive calls and visitors with grace, sophistication and professionalism. 
  • Act as a liaison to other departments across the organization. 
  • Perform other job related duties as requested.

Qualifications

  • At least 1 year of work experience including excellent grammar and organizational skills. 
  • Working knowledge of general office equipment. 
  • Demonstrate a high level of responsibility and display good judgment, accuracy and discretion. 
  • The ability to work well in a team environment, handle stress in a constantly changing environment, and multi-task various projects and/or situations under pressure. 
  • Excellent customer service skills. 
  • Have interpersonal skills to deal effectively with all business contacts. 
  • Professional appearance and demeanor. 
  • Work varied shifts, including weekends and holidays
  • Mastery knowledge and computer skills including Microsoft Word and Excel
  • High school diploma or equivalent
  • Able to effectively communicate in English, in both written and oral forms. 
  • Good work ethics.
